Cloudnine Retreat Package Payment Policy
Cloudnine Retreats package rates are in USD per person. After a confirmation has been emailed to you, a courtesy hold requires payment within 3 days (72hrs) to secure the reservation. For places that have a waitlist, a 24hr – 6hr courtesy hold may be offered. A payment plan is available upon request.
Payments are accepted via International Bank Transfer in USD (there is an TBH option based on the current exchange rate for bank transfer payment only), We can not accept any other currencies for bank transfers.
For Visa or Mastercard there is a 5% online merchant processing fee for debit / credit card payment and payment can only be accepted in USD.
Please note that overseas bank transfers and credit card payments may attract additional international transaction fees that are not included in the retreat package price. You are responsible to pay all banking fees, so that full payment amount of your retreat package rate is received.
Due to limited availability on each retreat, we require full payment to reserve a space for bookings made within 30 days of the retreat start date.
For bookings over 90 days in advance, we accept a 50% deposit to hold the place and offer a rate lock guarantee held for a package up to 1 year (365 days) from time of deposit payment. The balance payment for a deposit will need to be settled in full 45 days in advance of the retreat start date to confirm the booking. A courtesy reminder email will be sent.
If the deposit balance payment is not settled by 30 days in advance, the held space will be released (cancelled) and the deposit will be held in credit and can be applied to another date in full as per our cancellation policy below. The original rate lock guarantee is forfeited and the deposit amount will be applied to the current published rates.
Also, if you choose to reschedule (see Retreat Cancellations below) your original retreat date, while holding the space with a deposit, the original rate lock guarantee is forfeited and the deposit will be applied to the current published rates at time of rebooking.
Retreat Cancellations
It is your responsibility to read and understand our cancellation policy before making a reservation. Naturally, no-one books with the intention of cancelling or postponing their retreat, but unexpected things happen, so please be sure to take the time to read our booking terms and conditions, including our cancellation policy.
Definitions
“Cancellation” is defined as not attending your specifically reserved date of any Cloudnine Retreat package, including postponing or rescheduling.
“You” refers to the guest booking a Cloudnine Retreat.
“We” refers to Cloudnine Retreats.
Guest Cancellation Policy
If you cancel (change or postpone) your booked retreat date, Cloudnine Retreats does not offer refunds for any reason. A portion of your payment, or deposit payment, may be used as credit for another retreat date and package. The total dollar amount of the credit will be applied, to current rates at the time of rebooking. We will gladly transfer your credit to the name another person upon your arrangement of that transfer.
Depending on when you cancel, cancellation penalties may apply.
Fees are determined by the following schedule:
If you cancel more than 90 days before your retreat package start date, 100% of your payment may be applied to another Retreat.
If you cancel 60 – 89 days before your retreat package start date, 75% of your payment may be applied to another Retreat. You will forfeit 25% of the price of your retreat.
If you cancel 15 – 59 days before your retreat package start date, 40% of your payment may be applied to another Retreat. You will forfeit 60% of the price of your retreat.
If you cancel 14 days or less before you retreat package start date, you will forfeit your entire payment.
Please note that any credit dollar amount from a cancellation will be applied to the retreat’s current rate at time of rebooking.
Exceptions to our cancellation policy cannot be made for any reason. We do not offer credit for a guest arriving late or leaving early on your booked retreat package. You must submit your signed Participant Agreement form within one week of booking or 90 days before the retreat start date, whichever comes first. Guests who fail to do so may be subject to an automatic cancelation, and the above policy will apply.
Travel Insurance
Travel Insurance coverage is mandatory to attend a Cloudnine Retreat. Simple medical assistance is costly overseas, so it is mandatory to have travel insurance to cover this should the need arise. With most agencies, insurance must be purchased within 7 days of making your reservation. Most importantly, please be sure that your insurance policy covers you for all relevant activities that you will be engaging in on your package, especially any action sports.
You are welcome to choose ANY international travel insurance provider. We can confidently recommend Allianz Travel Insurance, as it provided affordable and adequate coverage options for medical coverage as well as travel and trip cancellation for our guests. We do know that nobody books a retreat with the plan to cancel, but sometimes ‘life happens’ and we recommend that you have travel insurance that will cover you should you need to cancel you trip at the last minute due to unforseen circumstances.
What happens if Thailand’s borders close on the date I’ve booked to come?
Let’s face it, these days we need to be prepared for anything when planning a trip. If Thailand’s borders to suddenly close and this prevents you from joining the retreat you’ve booked on, you payment amount will be held in credit for you to apply in full to any future retreat date and your travel insurance should cover any travel or flight interruption costs.
Pre-Exisiting Condition Disclosure Policy
If you have a pre-exisiting substance dependence, eating disorder, psychological (phobias, traumas) or significant medical conditions, please be aware that Cloudnine Retreats is not a medical or rehabilitation facility. Cloudnine Retreats does not offer any medical or psychological recovery or rehabilitation assistance for any of these conditions. We are a holistic wellness retreat offering natural therapies and experiences for general wellbeing. If you have a pre-existing condition that may affect your physical or mental experience on the retreat, or may affect your interaction with other guests or our team, we respectfully ask that you make us aware of this at time of booking. This is important so that we can help assess if a Cloudnine Retreat is right for you. If any pre-exisiting condition is not revealed to us at booking, and later puts yourself, or others, in a situation of not being able to provide adequate care or alleviate discomfort, then we retain the right to cancel your retreat without providing a refund or credit; forfeiting all payment.
Cloudnine Retreats Cancelation Policy
If Cloundnine Retreats must cancel (not run) a booked retreat date for any reason, other than not disclosing pre-exisiting conditions, you may transfer your full payment to another retreat package and date, or you may request a full refund of your payment to us constituting a full settlement. Cloudnine Retreats is not responsible for your expenses incurred in preparation for any canceled retreat, such as airline tickets, loss of work, and/or other costs associated with preparing for your trip.
